Job Description
Coach, monitor, assist, and assign tasks to data control team as well as provide support where needed.
Review outstanding tasks with team members and update priority list and/or projects and/or clients with any changes.
Ensure proper induction and training of new employees to data control team.
Managing the exception time (vacation, sick, etc) for team to ensure adequate coverage.
Conduct annual performance management and career planning for direct reports.
To manage and oversee the compliance of the internal and external regulatory processes (CSOX, ISO, ABSA, and Functional) as applicable.
Supervises and conducts data entry for all material and selective services receiving activities, including routine auditing of Data Control Administrator activities.
Coordinate and perform the packaging of the purchasing & receiving documentation for issuing to Accounts Payable and to the clients as required.
Work with the Materials and Procurement groups to support the completeness and closure of system purchase orders.
Identifies opportunities for cost reduction and/or process improvement, and barriers for effective performance, informing at the appropriate levels.
Responsible for maintaining the integrity of SmartPlant Materials system receiving data activities within Flint Infrastructure Ltd to ensure utmost level of accuracy.
Adhere to Flint Infrastructure processes, including Supply Chain Management processes.
Supervise and perform any additional data control activities as directed by supervisor.
Attend team meetings to provide assistance in resolving issues, review progress and ensure assignment of new tasks.
Maintain open and continuous lines of communication and collaboration with clients, senior project management and finance department.
Maintain and report on established Key Performance Indicators (KPI’s) as required by the business.
Support accounting issues as they relate to purchase and receiving activities.
Provide recommendations and guidance to other Functional groups with regards to processes, monitoring and system requirements.
Post, review and print off any required information from Flint Document Management System (FDMS) which pertains to current tasks, responsibilities and projects.
Review and approve team members’ timesheets and submit to administration. Ensuring that the appropriate overtime approvals have been complete for upcoming
overtime, these approvals are to be submitted with the corresponding timesheets.
Job Requirements
Minimum of high school diploma is required.
Enrollment and/or completion of post secondary education and/or trades certification will be required for advancement.
Expert Computer Skills: Materials Management Software (JD Edwards, SmartPlant, Etc)
Intermediate Computer Skills: Microsoft Office (Outlook, Word, Excel), Materials Management Software (JD Edwards, SAP, etc)
Applies strong knowledge in planning, organizing, monitoring, reporting and conducting activities requiring independent decisions / judgment.
Accounts Payable knowledge would be an asset.
Minimum of 3 - 5 years experience is reqired.
1 - 2 years of industrial construction experience is an asset.
Proven supervisory experience is required.
Accounts payable or inventory management experience considered an asset.
Periodic visits to the project work site may be required.
